As a Program Admin with the Creator Role, you can quickly launch an innovation campaign by creating and configuring a Program. This article guides you through selecting a template and defining the core settings needed to welcome Participants.
Create a new Program
To begin, navigate to My Space > Administration from the top navigation bar of your platform.
As an Admin with the Creator role, you can click the New Program button to being setting up your first program.
If you do not have the Creator Role, ask your Super Admin to create the program for you.
You will be prompted to select a starting point:
Use a Template: Choose a pre-configured template from the library (e.g., "Client Experience") to save time.
Start from Scratch: Choose this if you want full control over every configuration from the beginning.
Duplicate: You can also create a new Program by duplicating an existing one.
Define General Information
Once you have selected your template or started from scratch, you must fill in the foundational details of your Program. These can always be updated later in the back-office.
Program Name: The title of your innovation challenge.
Short Description: A brief summary that appears on the Program thumbnail in the Explore page.
Program Banner: Upload a main visual (recommended size: 2500x700px) to brand your interface.
Program Brief: Provide detailed instructions or context that will be visible to employees on the landing page.
- Submission Format: Define the format participants will use to submit their ideas.
- Submission Limit: Set a limit on the number of ideas a participant or team can submit to the program.
Languages and Access
Define who can see your Program and in what language they will view it.
Languages: Select a default language and any additional languages. Adding a language duplicates the interface, allowing you to manually translate content pages.
Access Rights: Define which internal communities (e.g., Employees) can participate in or view the Program.
Schedule and Workflow
The Program journey is defined by its dates and steps.
Start Date: When the Submission phase officially opens.
Registration End Date: After this date, no new Ideas can be created, though existing ones may still be editable.
Program End Date: The final deadline after which Ideas can no longer be edited by Participants.
After the creation of the program, you can add or reorder steps from Workflow tab in the General Settings.
Visibility and Launch
Before going live, you can control the visibility of your Program:
Pre-launch: Display the Program as "Coming Soon" to build anticipation without allowing entries.
Secret: Keep the Program hidden from the public list; it will only be accessible via a direct URL.
Draft Mode: By default, new Programs are hidden until you are ready to publish them.
Once your configuration is complete, you can request a review from a Super Admin or proceed to launch from the Overview page.
Using Categories
A category is a sub-theme of your program. It helps guide participants toward more specific areas of interest within your program's overall theme. We recommend defining 3 to 5 categories.
- For Program Admins: Categories must be defined during setup, before launch. They're included in participant exports and appear as filters throughout the platform — for example, in the submission overview and the evaluation interface.
- For participants: When registering to a program, a participant or team selects one or several categories. This can be edited at any time until the end of the first participation step.
