As a Program Admin, the Submission Form is your primary tool for collecting the specific data points needed to evaluate Ideas. By choosing the right question types, you can ensure that submissions are structured and easy to filter during the selection phase.
Accessing the Form Settings
To begin building your form, navigate to the Settings menu in your program's back-office and select Submission forms.
Step-Specific Forms: If your Program has multiple steps (e.g., Submission, Technical Validation), you can configure a unique form for each stage by selecting the relevant step tab.
Multi-Language : If your program is available in multiple languages, you can switch between language tabs to provide translated versions of your questions.
Configuring the Submission Form
Adding Form Elements
You can build your form using three main components:
Questions: The specific fields Participants must fill out.
Sections: Used to group related questions together for better readability.
Dividers: Visual organization tools that help organize long forms.
To add an element, click on the Add question, Add section, or Add divider buttons at the bottom of the form interface.
Choosing Question Types
Selecting the appropriate format for expected replies is crucial for data quality. Available formats include:
Text: short text or long text
Predefined Choices: Use Radio buttons, Checkboxes, or Dropdown menus.
Documents: Allow Participants to upload files such as presentations or PDFs.
To note: A submission form is comprised of three default fields including the Idea name, Description, and an optional image.
Predefined choice questions (like dropdowns) are highly recommended. They allow the system to automatically categorize responses, making it much easier for you to filter and sort submissions later.
Customizing Question Options
For each question, you can define specific rules and visibility settings:
Required: Toggle this on if the question must be answered before a Participant can officially submit their Idea.
Confidential: Questions marked as confidential will be hidden by default on the voting and evaluation interfaces. This is useful for sensitive data like budget estimates.
Set as Filter in Evaluation Interfaces: For unique choice, multiple choice, or dropdown questions, enabling this option allows you to use the answers as filters within the Evaluation interface.
Organizing Your Form
Once your questions are created, you can easily reorder them using drag and drop to ensure the most logical flow for your Participants.
Always remember to click Save changes before navigating away from the page. If you have multiple languages on your platform, don't forget to Add a translation for each language!
