Exporting Your Data: PowerPoint and Excel Guides
Whether you need to present a single startup's profile to your team or analyze your entire innovation portfolio, our export features have you covered. You can easily extract your data in two distinct formats: PowerPoint (One-Pagers) for presentation-ready slides, and Excel for deep-dive data analysis.
1. Roles & Permissions: Who Can Export?
Before you begin exporting, it’s important to know that export rights are tied to your user role to protect your organization's data:
Typology Administrators: Have full, unlimited export rights for the specific typologies they manage.
Contributors: You must be at least a Contributor to a typology to export its data. Contributors have a capped limit on how many items they can export at once (this limit is defined by your Platform Administrator).
Restricted Users: If you do not have access to a specific typology, you will not be able to export its data.
2. PPT Exports (The "One-Pager")
The PowerPoint export transforms your Startup and Project cards into clean, professional presentation slides with just a few clicks.
How to Export to PowerPoint
You can generate a One-Pager for a single item or for a batch of multiple items at once:

Single Item Export: Open the profile of the specific innovation provider or project you want to present, and click the Export button.
Bulk Export: Navigate to the Productivity View (list view) within the portfolio, either for all partners or for a specific typology. Select the multiple cards you wish to include, then click the quick actions button and then Export (One-pager). This will generate a single
.pptxpresentation containing one dedicated slide per selected item.
Note: Users can only export the first 50 lines a time.
Configuring Custom PPT Templates (For Administrators)
By default, the platform provides a standard One-Pager layout. However, Platform Administrators can create and upload custom .ppt or .pptx templates tailored to each specific typology (e.g., a different layout for "Startups" vs. "Internal Projects").
To manage your templates, go to the Admin Panel > One Pager tab.
Steps to create a custom template:
Download the default template from the Admin Panel to use as a base.
Consult the One Pager Dictionary to find the exact configuration tags for the fields you want to export (e.g., Description, Funding, etc.).
Place these tags into your custom PowerPoint template and format the text/styling as desired.
Upload your newly customized file back onto the platform.
Advanced Settings: To keep your slides looking clean, administrators can limit the maximum character length for text fields and restrict the number of items displayed in table fields.

3. Excel Exports (Portfolio Data)
The Excel export feature allows you to extract your portfolio data into a spreadsheet. This is ideal when you need to run reports, clean up data, or perform advanced filtering.
Portfolio Export: Typology vs. All Portfolio
Depending on your reporting needs, you have the flexibility to export your data at different levels:
All Portfolio: Export your entire portfolio across all available typologies for a macro-level view of your innovation ecosystem.
Note: to export your entire portfolio (all typologies), you need to have "can administrate" access to all typologies
Specific Typology: Filter your view to a single typology (e.g., just "Startups" or just "Internal Projects") to get a focused dataset.
Flexible Data Retrieval
You are always in control of what gets exported. Before clicking export, you can: Apply filters to your database to export a highly targeted list.
Choose the specific level of detail and the exact columns you want included in your spreadsheet. For example:
- Interactions: includes last updated by and by whom created.
- Followers: Export the data on users who are actively tracking a specific project or startup.
- Comments: Extract the qualitative feedback, notes, and discussions left by your team directly on the cards.
Note for Platform Administrators: You can adjust the export line limit for Contributors in your platform by reaching out to your Bloomflow Care team via support@bloomflow.com. For platform stability, we strongly advise keeping this limit below 3,000 rows.
4. Exporting from Lists
Curated Lists are a customizable collections of elements like partners or projects, you can easily export these specific groupings.
Lists live in a dedicated section of the platform and are designed to combine both partner information and operational workflow data in a single view. Because they are built to be shared, presented, and reused across teams, exporting from a List is incredibly useful for specific reporting scenarios:

When you export a List to PowerPoint, Bloomflow automatically generates a ready-to-present deck.
You will get a
.pptxfile where every partner (or project) in your curated list is formatted onto its own individual slide.This is perfect for taking a dynamic shortlist of partners and instantly turning it into a slide deck.
Excel Export: The Deep-Dive Tracker
When you export a List to Excel, you get:

A: No, it is an excel file. However, it can easily be converted online.
