In an evolving innovation ecosystem, your relationship with a partner is rarely linear. The Multi-Workflow experience allows you to manage diverse workstreams in parallel for the same partner, all while maintaining a "single source of truth" on the Partner page.
What is the Multi-Workflow Experience?
The Multi-Workflow feature uses the foundations of the Partner page and the Workflow while enhancing it to allow for multiple workflow templates to be available within a single typology and partner page. Instead of being limited to one linear track, you can add multiple workflows (of the same or different types) to the same partner page.
These Workflow Templates each reflect a unique process related to a partner or a specific partner type. This allows you to accurately depict and track every ongoing engagements with a partner without them interfering with one another.
Key Elements of the Multi-Workflow
To master the Multi-Workflow experience, it is important to understand the different levels where information is stored and managed:
-
Workflow Templates: These act as the blueprint for a specific process (e.g., "Qualification" or "Pilot Program").
Each template contains its own set of steps, reflecting the individual progression of that specific process.
-
The "Dedicated Space": Every workflow has its own dedicated space where information related to the process itself can be stored. This allows you to differentiate between:
The Partner Page: Where you store generic information pertinent to the partner regardless of the ongoing process.
The Workflow Page: Where you store information relating directly to that specific process (e.g., specific test results for a pilot or legal documents for a specific audit).
Aggregated Information & Visibility
While workflows provide a dedicated space for specific data, the Partner page serves as an aggregation hub, ensuring you have a holistic view of all activities without losing the context of where they originated.
Unified Information Display
Information added at the workflow level is automatically visible at the partner level to provide a complete picture of the relationship.
Contacts: If you add an internal contact to a specific workflow, they will appear in the partner's contact list with a label specifying which workflow they are attached to (e.g., "Qualification").
Activities: Any edits made within a workflow (such as moving an item to a new step) are logged in the "Activities" feed of both the workflow page and the main partner page.
Documents: Any files or documentation uploaded at the workflow level are aggregated to the partner page, ensuring all relevant assets are central while maintaining their process context.
Attaching Content from the Partner Page
The Multi-Workflow Experience allows you to attach notes, meetings, or documents to a specific workflow page directly from the main partner page. By using the "Attach to" functionality, you can ensure that a specific piece of information is stored in the correct workflow while still remaining visible in the partner's aggregated activity timeline.
This is a configuration that can be activated upon request to the Care team at support@bloomflow.com
Secure Aggregation
Information added at the workflow level is only visible on the partner page to users who have the appropriate rights and permissions for that specific workflow. This ensures that while the partner page aggregates data, it never compromises the confidentiality established at the template level.
The Pipeline View: Visualizing Progress
The Pipeline View allows you to toggle between different workflow templates to visualize the specific steps—represented as vertical columns—that define the unique progression of that particular process. Within these columns, each partner card displays an individual state (such as "In Progress" or "Standby"), allowing you to track the real-time status of a partner's performance at a specific stage of the workflow.
